Job Status Definitions

Closed Promotional – For current Shelby County Permanent or Durational employees only; excludes Shelby County temporary employees and Shelby County employees on original job probation, extended probation, disciplinary probation, or suspension

Grant-Funded - Funded by a grant for a duration of time as defined by the grant.

Open – Open to the public and Shelby County employees.

Open Register – A register of qualified applicants to be retained until a specified period of time to be considered for appointment or until the list of eligible applicants is exhausted.

Position Summary

Works under general supervision to perform a variety of entry-level clerical/administrative duties that may require use of limited independent judgement, interpreting skills, and skill processing, creating and/or maintaining various records, files, and information regarding specific departmental functions.


Pay Grade: 41

Minimum Qualifications

100% -

1. Two (2) years of experience in appropriate clerical, data processing or statistical work; and high school diploma or GED; OR

2. One (1) year of appropriate clerical, data processing, or statistical work; and one (1) year of college study (30 semester hours or 36 quarters) from an accredited college or university.


Duties and Responsibilities

1. Process and/or enters pertinent data into the computer or other record format for COVID in RedCap, National Electronic Disease Surveillance System (NEDSS) or other related databases.

2. Receives calls from the COVID Hotline.

3. Composes letters, memoranda, reports for review and signature.

4. Greets customers and answers questions by telephone or in person concerning COVID.

5. Receives, reviews and processes records, reports and other various documents as required for COVID.

6. Mails authorized documents or materials as required for COVID.

7. Files and maintains control records for COVID.

8. Obtains data from COVID team to prepare and compile standard reports.

9. Relieves or assists other clerical employees assigned to work COVID.

10. Assists with community outreach and testing events.

11. Responds to Health Department Operation Center (HDOC) as needed.

12. Performs other related duties as required or directed.

Knowledge, Skills and Abilities

KSAs -

1. Knowledge of modern office practices, procedures and equipment; skilled utilizing software.

2. Ability to become proficient in Microsoft Word, RedCap, NEDSS and Excel. Familiarity with computerized databases.

3. Knowledge of business English and math.

4. Ability to communicate with staff and the public with courtesy and tact.

5. Ability to plan, organize and maintain an even flow of work.

6. Ability to express ideas clearly, concisely and effectively, verbally and in writing.

Special Requirements

1. Must possess a valid Tennessee driver license or secure on upon date of employment.

2. Must have daily access to an operable automobile and meet county requirements for automobile insurance upon date of employment.

3. Must be available to be on-call.
