Job Status Definitions

Closed Promotional – For current Shelby County Permanent or Durational employees only; excludes Shelby County temporary employees and Shelby County employees on original job probation, extended probation, disciplinary probation, or suspension

Grant-Funded - Funded by a grant for a duration of time as defined by the grant.

Open – Open to the public and Shelby County employees.

Position Summary

Report to Manager to provide a variety of clerical duties including, but not limited to, data entry, responding to community inquiries, scheduling community events, assisting with testing events and ordering supplies/materials. Participate in quality improvement initiatives and activities.


Pay Grade: 43

Minimum Qualifications

100% -

1. Four (4) years of experience in appropriate clerical, bookkeeping, data processing or statistical work; and high school diploma or GED; OR

2. Three (3) years of experience in appropriate clerical, bookkeeping, data processing, or statistical work; and one (1) year of college study (30 semester hours or 36 quarters).

3. Proof of education, training, and/or experience is required.

Duties and Responsibilities

1. Serves as lead for all administrative support staff in COVID Response Unit.

2. Maintains, compiles, prepares and submits attendance records, mileage and time study reports for all employees reporting to Manager of COVID Response Unit.

3. Orders materials, supplies and equipment upon approval for all COVID Response Unit and maintains records of purchase orders and invoices on a daily basis.

4. Prepares interoffice communications, correspondences, requisitions, forms, instructional materials, specifications, and reports of a routine or special nature.

5. Processes incoming and outgoing mail; initiates and/or transmits inter-office memos and notices.

6. Supports different levels of staff by providing information and assistance whenever possible.

7. Answers telephones. Uses word processing, database, and spreadsheet software.

9. Assists with community outreach and testing events.

10. Responds to Health Department Operation Center (HDOC) as needed.

11. Performs other related duties as required or directed.

Knowledge, Skills and Abilities

KSAs -

1. Knowledge of modern office practices, procedures and equipment; skilled at operating office equipment.

2. Ability to become proficient in Microsoft Word, Excel and PowerPoint. Familiarity with computerized databases.

3. Ability to plan, organize and maintain workflow.

4. Ability to communicate with staff and public citizens with courtesy and tact.

5. Ability to plan, organize and maintain an even flow of work.

6. Ability to express ideas clearly, concisely and effectively, verbally and in writing.

7. Ability to resolve problematic situations.

Special Requirements

1. Must possess a valid Tennessee driver license or secure one upon date of employment.

2. Must have daily access to an operable automobile and meet county requirements for automobile insurance upon date of employment.
